An approval stage within a workflow is a distinct segment of the approval process that groups together one or more related approvals, all serving a common business purpose. Each approval stage is essential for progressing through the overall approval route effectively.

Components of an Approval Stage:

  1. Name: the name of the approval stage serves as its identifier within the workflow. It helps users and administrators understand the role and context of this particular stage in the overall approval process.
  2. Objective: defines its purpose and clarifies why approvals are required. This information is visible to users and stakeholders involved in the approval process, guiding them in making informed decisions.
  3. Active Status: each approval stage can be designated as active or inactive. If an approval stage is active, it will be included in the approval route, and users will be required to complete the approvals specified within that stage. If inactive, the stage will be skipped during the approval process, streamlining workflow execution.
  4. Approval Method: the method of approval determines how decisions are reached within the stage:
  5. Duration (in hours) - specifies the time allotted for approval agents to review and decide on the record. If no action is taken within the specified duration, escalation processes may be triggered to ensure timely resolution. In cases where the record is rejected, specific rejection processes may also be initiated to manage next steps effectively.

An optional component of an approval stage is Filtration. By default, the stage is always included in the approval route. However, if there is a specific need for the stage to be included only under certain conditions, users can specify these conditions in the Conditions tab under the Filtration area.

This feature allows users to customize the inclusion of approval stages based on predefined criteria, ensuring that stages are triggered only when necessary, thereby optimizing the approval process.

Set up the Approval stage agents

Each approval stage includes a list of individuals responsible for making approval decisions, specified in the detail [Approval Stage Agent].

There are three options for assigning approval agents:

  1. Manager - the manager of the employee as defined in the Employee section.
